Actually Africa (Pty) Ltd (registration no. BW00005665337) ("Actually Africa", "we", "us") designs and books private safaris. This policy explains what personal information we collect, why we collect it, who we share it with and your rights.

1. Information we collect
Information you give us, when you enquire, book or complete our guest information form:
- names, email addresses, phone numbers and postal addresses;
- travel preferences, dates, party details and special occasions;
- passport details, nationality and date of birth, which airlines, lodges and authorities require;
- dietary requirements, and medical, mobility or health information relevant to your safety and comfort while travelling;
- emergency contact details and travel insurance details;
- payment and invoicing records.
If you book for other travellers, including children, please make sure they, or their parent or guardian, are happy for you to share their information with us.
When you visit our website, Google Analytics may collect device, browser and usage data, as well as information about confirmed enquiry conversions. We also use session storage to retain enquiry attribution during your visit.
2. How we use your information
We use your information to:
- respond to your enquiry and design your itinerary;
- book and manage your arrangements with lodges, airlines and other suppliers;
- look after you before and during your trip, including in an emergency;
- invoice, take payments and keep accounting and tax records;
- meet our legal obligations; and
- send you occasional news or offers, only where you have agreed to this. You can opt out at any time.
We only use health and medical information to arrange your trip safely and suitably, and only with your consent, which you give when you provide it.
3. Who we share it with
We share only what each party needs to provide its service:
- Travel suppliers: lodges, camps, hotels, airlines, charter operators, transfer and ground operators, and park and immigration authorities where required.
- Service providers who help us run the business: our itinerary and booking platform, email and document storage, online forms, accounting software, payment providers and website hosting. They process data on our instructions.
- Professional advisers and authorities: our accountant, and authorities where the law requires it.
We never sell your personal information.
4. International transfers
Safari travel involves several countries, so your information will be transferred to suppliers in the countries you visit, which may include Botswana, South Africa, Namibia, Zambia, Zimbabwe, Rwanda, Uganda, Kenya, Tanzania and others. Some of our service providers store data outside Africa. Where information leaves the country where it was collected, we take reasonable steps to ensure it is protected, and the transfer is necessary to deliver the trip you have booked.
5. How long we keep it
We keep booking and financial records for as long as tax and accounting law requires. We delete or anonymise passport and health information within 12 months of your return, unless you ask us to keep it for a future trip.
6. Security
We use reasonable technical and organisational measures to protect your information, including access controls and reputable, secure service providers. No system is completely secure, but if a breach affecting your information occurs, we will notify you and the relevant regulator where the law requires it.
7. Your rights
Depending on where you live, you have the right to:
- access the personal information we hold about you;
- correct inaccurate information;
- ask us to delete your information;
- object to or restrict certain uses, including direct marketing;
- withdraw consent at any time, without affecting earlier processing; and
- receive a copy of your information in a portable format.

8. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
