Terms and Conditions

These Terms and Conditions govern the relationship between Actually Africa (Pty) Ltd (registration no. BW00005665337) ("Actually Africa", "we", "us") and you, the purchaser and/or traveller, for the safaris and travel arrangements we prepare for you.
1. Our role as booking agent
Actually Africa acts solely as a booking agent. We design your itinerary and book services on your behalf with independent suppliers, including lodges, camps, hotels, airlines, air charter operators, transfer and ground operators, boat operators and other service providers ("Suppliers").
Each Supplier is an independent business with its own management and is not controlled by Actually Africa. Your contract for each service is with the Supplier providing it, and those services are subject to the Supplier's own terms and conditions, including those in any tickets, vouchers or confirmations they issue. Payments you make to us are received on behalf of the Suppliers named in your itinerary.
2. Payments
A non-refundable deposit of 25% is required to confirm your booking. Some Suppliers require a higher deposit; if so, we will tell you the amount at the time of booking.
Full and final payment is due 90 days before your travel date.
3. Pricing
Prices are based on Supplier rates, taxes, fees and exchange rates at the time of quoting. If inflation, fuel costs, park fees, government taxes, airfares, exchange rates or other costs outside our control change substantially after booking, Suppliers may adjust their prices and we may need to pass these changes on. Inflation and fuel adjustments are based on the relevant index for the country where travel takes place.
We will make every effort to avoid changes after booking, and we will discuss any change with you before it is applied.
4. What is not included
Unless your itinerary or invoice expressly lists them as included, prices do not include: passport and visa fees; vaccinations; travel insurance of any kind; excess baggage charges; airport departure taxes not included in airline tickets; park fees, taxes or service charges introduced or increased after the date of our original invoice; optional activities; gratuities; items of a personal nature such as communications charges, room service and purchases; additional mileage requested by you; and any transport not listed as included.
Drinks and laundry are included at some properties. Where they are, this will be stated in your itinerary and invoice.
5. Cancellation by you
Cancellation must be made in writing. Fees apply from the date we receive your written notice. "Travel date" means the start date of your itinerary as arranged by Actually Africa.

Supplier cancellation penalties are strict, and these fees reflect them. Where possible, we will try to postpone your safari rather than cancel it outright. We strongly recommend taking out cancellation insurance when you pay your deposit.
6. Changes to a confirmed booking
If you ask to change any part of a confirmed booking more than 45 days before your travel date, we will try to make the change on your behalf. An administration fee of USD 250 applies per change requested, and success is not guaranteed as it depends on Supplier availability.
For changes requested between 45 and 28 days before your travel date, an administration fee of USD 500 applies per change requested. Success is not guaranteed and depends on Supplier availability.
Changes requested less than four weeks (28 days) before your travel date are treated as a cancellation and a new booking, and the cancellation fees in section 5 apply.
7. Changes by Suppliers or due to circumstances
Suppliers may need to alter or cancel services because of flight schedules, transport changes, security concerns, natural events or other circumstances outside our control. Where this happens, we will act in your best interests and work with you and the Suppliers to arrange a comparable experience of equivalent quality.
8. Force majeure
Force majeure means any event beyond reasonable control, including natural disasters, flood, fire, storm, epidemic, accident, explosion, war or threat of war, terrorism, sabotage, civil unrest, strikes, and government action or requisition.
Neither Actually Africa nor the Suppliers will be in breach of these Terms because of delay or non-performance caused by force majeure. If force majeure affects your trip, we will work with the Suppliers to vary or rearrange your itinerary where possible.
Any refund depends on what Suppliers refund to us. We will pass on to you any amount we recover, less reasonable costs we have actually incurred as a result of the event.
9. Fitness and health
Safari travel can involve long journeys, light aircraft, uneven terrain, heat and remote locations far from medical facilities. Before booking, please tell us about any medical condition, mobility need, pregnancy or other circumstance that may affect your travel, so we can advise on suitable arrangements. It is your responsibility to take medical advice on whether you are fit to undertake the trip.
We provide the latest information we have on health requirements for your destinations, but we cannot guarantee its accuracy. Diseases including yellow fever, malaria, typhoid and polio are present in parts of Africa. Please see your health practitioner for advice at least three weeks before departure. Where a yellow fever vaccination is required, it must be recorded on a valid certificate that you carry with you.
10. Passports and visas
You are responsible for holding a valid passport, the required visas and any other travel documents. Many African countries require passports to be valid for at least six months beyond your return date and to have blank pages. Requirements vary by destination and nationality, so please check them for your trip.
11. Light aircraft luggage restrictions
Light aircraft transfers have strict limits. Typical limits are:
- Soft bags only; no hard-shelled luggage.
- Maximum 20 kg (44 lb) per person, including hand luggage.
- Hand luggage maximum 5 kg (11 lb), one piece, counted within the 20 kg total.
- Maximum bag size 30 cm (12 in) wide × 35 cm (14 in) high × 70 cm (28 in) long.
Some routes set lower limits; your itinerary will confirm the limits that apply. Additional charges may apply for travellers weighing 110 kg or more, and all weights must be provided on confirmation. Operators may repack incorrectly packed luggage into a soft bag at your expense.
12. Travel insurance
Comprehensive travel insurance is a condition of booking. Your policy must cover:
- accidental death and disability;
- major medical expenses;
- emergency medical evacuation, to the nearest suitable hospital and then home;
- loss of personal effects; and
- trip cancellation, curtailment and interruption.
Private hospitals and clinics in southern Africa generally will not admit patients without suitable medical or travel insurance or a personal guarantee of payment. Airline tickets usually cannot be changed without cost, so your policy should cover this too. Taking out cancellation cover when you pay your deposit usually allows you to recover cancellation fees.
13. Risk and liability
Safari and adventure travel carries inherent risks, and you accept those risks by travelling.
As a booking agent, Actually Africa is not responsible for the acts, omissions, services or facilities of Suppliers, or for any injury, illness, death, loss or damage arising from them. To the extent permitted by applicable law, Actually Africa's liability to you is limited to our role in arranging your booking. Nothing in these Terms limits any liability that cannot be limited under applicable law.
Before travelling, you will be asked to review and sign our Release of Liability, Assumption of Risk and Indemnity.
14. Complaints
If something is not right during your trip, please tell Jake or the Supplier straight away so it can be addressed on the spot. If you remain unhappy, write to us within 30 days of returning home and we will raise your complaint with the Supplier concerned.
15. Privacy
We handle your personal information in line with our Privacy Policy.
16. Acceptance and changes to these Terms
Paying a deposit or any other payment for a booking confirms your acceptance of these Terms and Conditions. These Terms may only be varied in writing, signed by an authorised representative of Actually Africa.
17. Governing law
These Terms are governed by the laws of Botswana, and the courts of Botswana have jurisdiction over any dispute.
